An AI agent is software that finishes a task instead of only answering a question. It reads an email, works out what it is, looks something up and takes a step in your systems. When it gets stuck, it tells a person. And it leaves a record of what it did.
For a freight broker, that means an agent can take over the dozens of small jobs between booking a load and getting paid.
What a freight broker AI agent can do today
Check calls and ETAs. Text, email or call the driver at set times. Log the location and ETA in the TMS, update the customer, and alert the rep only when a load is running late.
Carrier emails and calls. Answer "is this load still available?" and "what's the rate?", collect MC numbers and offers, and pass qualified carriers to a rep.
Load and quote intake. Read tenders, rate cons and quote requests from the inbox and create the load or draft the quote in the TMS.
Documents. Match PODs and BOLs to loads, check they're complete, and start billing.
Follow-ups. Chase missing paperwork, overdue invoices and unsigned rate cons, on schedule and in a polite tone.
What it shouldn't do (yet)
- Commit you to a price without a person's OK, until it has proven itself on your lanes.
- Pick the carrier on its own. In May 2026 the Supreme Court ruled 9–0 that brokers can be sued under state law for negligently choosing a carrier (Montgomery v. Caribe Transport II). A person should own that call (see our carrier vetting process).
- Change payment details. Bank or remit-to changes always go to a person.
- Handle a problem customer. Delays, claims and disputes need a human voice.
Agent vs. chatbot vs. automation
Fig. 2 A chatbot talks, rule-based automation runs fixed steps, and an agent picks the step and hands surprises to a person.
| Chatbot | Rule-based automation | AI agent |
|---|
| Reads messy emails or PDFs | Somewhat | No | Yes |
| Acts in your TMS | No | Yes, fixed steps | Yes, picks the step |
| Handles surprises | Talks about them | Breaks | Flags them to a person |
| Best for | Drafting | High-volume, identical work | Varied, repetitive work |
In practice, mix the last two: fixed rules where the work is always the same, an agent where the inputs vary.
How to roll one out safely
Fig. 3 One job at a time, with a person approving each action until it runs without surprises.
- Pick one job. Check calls are a good first pick: high volume, low risk and easy to review.
- Shadow first. The agent does the work, but a person approves each action for a week or two.
- Set clear limits. Write down what it may do alone and what always goes to a person.
- Keep a log. Every message sent and every TMS change should be visible per load.
- Then widen. Add the next job only when the first one runs without surprises.
Does it replace reps?
It replaces the parts of the job reps like least: chasing, retyping, repeating the same answer. It can also pick up the after-hours and Friday-afternoon work that would otherwise slip through.
Where we come in
We're a small team based in the Hudson Valley, NY, spread across the globe, serving clients in many countries. We build automation for freight brokers, 3PLs and carriers, including check calls and ETAs, load intake and paperwork. It runs on top of the TMS and inbox you already use. It starts with your Redprint, a map of how your work runs today, delivered within 48 hours of your intake. There's a 30-day money-back guarantee: if you don't like what we plan to build, you get all your money back. After the build comes the Optimizing Phase. We stay on as your operational partner and keep improving the system as AI and your business change. You can cancel anytime. The automations run on our system, so they stop when the Optimizing Phase does.

Questions
What is an AI agent for freight brokers?
Software that does routine brokerage tasks on its own, like check calls, carrier emails, load intake and paperwork follow-ups. It works inside your TMS and inbox and passes exceptions to a person.
Can an AI agent do check calls?
Yes. It can text, email or call drivers on a schedule, log updates in the TMS, update the customer, and flag late loads to a rep.
Is an AI agent the same as a chatbot?
No. A chatbot answers questions. An agent takes actions in your systems and keeps a record of what it did.
Will an AI agent replace freight broker reps?
No. It takes over the repeat work, so each rep can handle more loads. People still own pricing, carrier choice, relationships and problem loads.
What should an AI agent never do alone?
Commit to rates before it has earned trust, pick carriers without review, or change payment details.
